Event Planning
38882Option 2: You will select a real convention/exhibition that is hosted regularly (annually, every other year, or every three years). For example: The semi-annual Food Marketing Institute or the Southern Bridal Show. You must select an event with an average attendance of 2,000 + guests. Once you have selected your event, you will develop an outline and proposal that details steps on how to properly research, prepare, administer, and “break down” your event when your company assumes responsibility for the event. The proposal will need to include a description of the group and the purpose of the event along with a link to the actual website for the event and demonstrate how your event will appeal to the group. The selection of the event you will be planning is “first come, first serve” in that two students cannot choose the same, specific event; however, they can choose the same type of event. To clarify, two students cannot choose the San Diego Comic-Con, but two students can use comic conventions in different locations. Two or more students cannot work together on Option 2.
Aside from the primary project submission, the overall project grade will include several dedicated forums used to aid and encourage your ongoing effort to complete the project. The first occurs in week two and is simply identifying the nature of your project. For the forum, you will identify your event and receive approval, guidance, or both. In weeks four and six, you will have dedicated forums in place to provide an opportunity to consult with classmates and receive feedback, suggestions, or [tactful] constructive criticism.
In the spirit of collaboration, the class also provides a chat room feature, linked at the bottom of the class navigation list on the left side of the page, in addition to the dedicated forum space. The chat room will enable synchronous interaction for real-time discussion and be used to schedule meetings between students. Comments and discussion made in the chat room are permanent so a record or log is created that can be referred back to or reviewed by those not able to participate at the same time. Interactions in the chat room will not affect your grade.
Of course, external resources are always available for group interaction, phone calls, texting, or emails, but that is dependent on classmates approving and sharing contact information.
General guidelines for approved events:
For Option 1, the event you select must warrant sufficient planning to be used for this project. Planning a birthday party for immediate family or same household with ordering a cake, inviting guests, and reserving a location would NOT be sufficient. Anything perceived to involve less planning than that would also be insufficient for the purpose of this project. However, a birthday party or event for someone external to immediate family or household and booking entertainment would be sufficient. For the project, you would need to show client interactions and cost assessments of entertainment in relation to an established budget.
For Option 2, the type of event is already explained. The event must be hosted regularly and have an average attendance greater than 2000 guests. The specific event may not be previously selected by a classmate.
Submission
Your submission can be drafted using MS Word or MS Powerpoint or compatible software. You may also use alternative presentation software that can be easily accessible by all (not a paid registration or purchase). If not using a commonly used program, I suggest verifying I am able to access the file type through a trial run. Send a test file to determine if it is accessible.
Grading Criteria
In addition to the technical aspects of the project like writing and formatting standards, the project will be graded using the following criteria:
