ERMS Specifications Report Assignment Instructions
In your EDRM Specifications Report, you described the organization/department that is the focus of your project work in EDRMS. In this assignment, you will consider the requirements of an electronic records management system (ERMS) that would support your EDRM environment.
As before, you may need to do some basic research to adequately describe functionalities of a ERMS for your selected environment. Making reasonable assumptions as to system requirements is perfectly fine – many requirements, such as security redundancy, are standard elements. I am focused on how well you understand the principles and components of records management.
Overview
You will list 4 system requirements related to records management that are applicable to your ELECTRONIC RMS for your selected business/department. In a real-world situation, you also would need a policy for managing any physical records, as well. By law, some records still must be held in physical format. Remember, you must list 4 system requirements and explain why they are important/necessary. If you don’t have 4 requirements directly related to specifications for your system, you need to fill in any extras with logical requirements that would be expected in such an EDRMS.
Format
Follow this format for creating your report. Use the headings provided below.
Your report should be single-spaced paragraphs with a blank space between each paragraph. This is the standard Word format, so you should have to do anything to change your settings. Your document basically should look a lot like how this page looks.
This report should be about 3 – 4 pages long, dependent upon the format you use and any extra detail you may decide to include.
The primary thing to remember in this report (besides addressing all areas, of course) is to not skimp on why the RM specification is required/important. That aspect is where most students lose points.
Submit in Word or PDF format. Put only your name in the header and use only the report title on the first page.
Introduction
This should be a brief explanation of what this report is and why you created it.
Records Management System Functionalities
List 4 functions required in your ERMS. For this list, the functionalities should be specific to records management and should encompass elements of access, indexing parameters (date, subject matter, creator, record location, etc.), enforce file naming standards, storage (records can be stored within an independent RMS or they can be stored within the DMS), and/or destruction. The functionality list also can include the types of formats records will be stored in, requirements for compliance integration with specific laws/regulations, etc.
For each specification, provide an explanation of why it is necessary/important. Do not skimp on this part of the assignment. This is not a 1-sentence explanation.

References
Include references as applicable. This reference list is a bit different from an APA list. I want you to include any researched sources you use, but I also want you to include whether you conducted interviews, surveys, etc. I realize most of you will be creating your project based upon researched data as opposed to your own work environment.
