1) I love this discussion because I have been asked questions like this one in the past, so I will use the one that has been my favorite I have heard.
My question is, “Let’s imagine you are at your desk, the phone rings, and there is a customer on the phone. You also have a customer approach the front desk. At that same moment, a vendor arrives to check into the building regarding a submitted maintenance request. Then the other phone starts to ring, but the other admin is nowhere to be seen. What do you do? How do you handle this busy situation, and in what order?”
When asked this question, I immediately spoke about how I believe the front-facing customers are the priority. The order in which I would have dealt with the situation was to answer the phone and ask the person on the line to please hold for one moment, and then greet the customer at the desk, let the maintenance person know you will be with them shortly, and then when the phone rings again, politely excuse yourself from the customer at the desk and ask the phone line also to hold a brief moment, to make then my way back to the customer at the front desk.
How this question is handled is to see how you would handle being under pressure. It is about knowing how you can handle busy situations and if you know how to manage multiple things at once.
It is an excellent way to read someone’s character traits regarding stress. All jobs get stressful at some point, and knowing how to handle multiple things simultaneously will help you.
Another one would be, “Can you describe a situation in which you disagreed with your team on a task, what happened, and how it was fixed?” Again, these questions helps you to understand how a person handles stress within a team and how they communicate with others in the workplace.
The last question is another one I was asked recently and had not heard before: “This is a very busy office, and you are going to handle a lot at once. How do you personally stay organized and on top of your tasks?” This shows how a person will handle their time management and how they again handle stressful environments. Since starting my job this past week, I have come to see how bustling the office is and how much is going on at one time. Over the last four years, I have mastered my time management with my diary, email calendar, and to-do list. Knowing how to handle everything around you helps show you can be an ideal candidate.
2)One experience-based situational interview question that I would ask each candidate that would possibly replace me in my previous role would be about their most challenging task as of date; the details behind the task that made it difficult, the details about if and how they overcame the difficulties, and lastly the end-result of the task. Another question I would ask would be about whether or not they have experience with working with a team and if they do have experience how they did manage active conflict in the team while completing a task. The last question I would ask them would be if they have ever received negative feedback and or a bad review that they agreed with or later found useful and if so, I would tell them to provide detail. From their responses, I would expect to learn a little bit about their skillsets, skill level, leadership abilities, adaptability, communication abilities, conflict-resolution abilities, and their ability to handle feedback whether it be positive or negative. I think there is an obvious extent to which I can learn about candidates during an interview, even with asking general and personalized questions, there is always a limit. That being said, one could learn a lot more than they expect during a situation like this if they allow the moment to be one in which they have that capability.
