Today marks the last week of the second quarter. People in the office were quite busy because they had a meeting with Commission on Human Rights Central Office for Protocols in Disbursement and COA Policies. Everyone in the office were inside the conference hall while they had their meeting via Skype.
In the morning, I was tasked by Ma’am Maria Voy to help her in organizing the Individual Performance Commitment Review (IPCR) and the Daily Time Record (DTR) files of CHR employees. The files were supposed to be in duplicate but some of the documents only had one copy so I had to put a sticky-note that will notify Ma’am Maria Voy. While organizing the files, I have learned that the Commission on Audit is very strict with its policy on the IPCRs so I had give extra care on the files making sure that none would get misplaced. We were tasked to remove the staples, the files for COA and the other copy would be for the office archive. Having longer nails could have been handy with the staples but I had freshly trimmed nails so it was my partner who removed the staples while I organized the files. By lunch, were able to finish with the files for January and February.
The meeting still continued until the afternoon. Because everyone was in the conference room, I was tasked to stay at the front desk located in the ground floor. I was alone while my partner was upstairs in the Admin Office. It was a bit creepy due to the silence so I had to play The Fray’s Helios while I sat at the front desk to make me feel less scared with the silence of the offic. I was tasked to answer incoming calls for the Investigation and the Public Information Office. Part of my task in the front desk was to entertain clients . I was able to assist two clients who came in that day.
Even though we didn’t do much today, at least we were also given free snacks in the morning and in the afternoon. Yey!
Day 8 — June 28 (Tuesday)
Today is the Day 1 for CHR’s quarterly meeting and planning for the 3rd quarter. Again, everyone in the office were inside the conference room while we were the ones tasked to entertain clients and attend to incoming calls. I continued with the organizing the IPCR and DTR with the help of Bart, an intern from USC. This time, we had the files for March, April and May
There were aplicants for Investigators and Admin Staff who came in that day so we were also the ones who assisted them in the office.
Before we left the office, Suzeyne and I were given instructions for the next day’s meeting at St. Mark Hotel. We were tasked to document the meeting.
Day 9 — June 29 (Wednesday)
I arrived at St. Mark Hotel around 8:07 AM. I was sweating because I ran from Fooda Mango to St. Marks because I thought I was late. Fortunately, the meeting has not yet started. The meeting’s main agenda was about issues they have in the office which they need to resolve collectively and it was also their planning of activities for the 3rd quarter.
Suzeyne and I made the meeting minutes. We also recorded the meeting because we were instructed to transcribe it. CHR employees, even those who we do not usually work with, were encouraging while we were in the meeting. Sir Jessie, the OIC in CHR Sub-office Dumaguete, was happy that we were part of the meeting so we could be exposed to how the office works. The best part of every meeting in the office is of course, the free food. We were able to meet all the Regional Office employees and some employees from the CHR Sub-offices in Bohol and Dumaguete. During breaks, we would talk to some employees because they would ask about our major and where we study. They were fun to talk with and very encouraging.
The morning session was more on improving their work relations and practices in the office while the afternoon was spent on planning proper. The goal of today’s planning was to plot in the activities which they target to accomplish in the month of July, August, and September. As interns, we were expected to be part of the activities. Ma’am Lilybeth assigned to us the organizing of the Gender Sensitivity Training while Sir Jun hopes that we can be of help to him in the Public Information Office. July has been loaded with activities and I hope we could pull it off.
Day 10 — June 30 (Thursday)
Today, Suzeyne and I spent our morning glued to our laptop screens with headphones on. I made the transcription for the morning session while she did the transcription of the afternoon session. By 2:10 PM, I emailed the meeting minutes and transcript to Ma’am Zenie for review. There were some mistakes with the name spelling but she was satisfied with what we gave her. The file was updated and sent back.
