According to the text, project management can be defined as planning, directing, and controlling resources to meet the technical, cost, and time constraints of a project (Jacobs & Chase, 2020). When considering all the projects that I have either been assigned to personally or via work, the most complex project I managed was my family vacation. My family vacation included all my 6 adult siblings, their kids, and grandparents. We rented out a vacation house in Florida and spent some time on the beach relaxing, playing games, touring, and taking family photos. One would think that a family vacation of this size would not be complicated to plan, however, we first had to get an idea of who was coming, vote on the location and price range, and then get an idea of what everyone wanted in a vacation home. Once we obtained the spot, I had to collect funds, put down deposits, create payment plans, and due dates, and then orchestrate 3 main activities for the family, along with food. I had 1 year to plan the vacation and get everything ready, and I was stressed the entire year. I was not only the project manager, but I was also the accountant, activity planner, flight booker, etc. Some siblings would miss payment deadlines. At times, I had to step in to meet their payment, so it didn’t mess up anyone else. Overall, the trip was amazing. However, I told everyone I would not do it again because it was too stressful to organize everything.
By reviewing the chapters, I learned where I went wrong with project management during my family vacation. My first error was not having a statement of work. A statement of work is a written description of objects needed to be done and an estimated start and end dates (Jacobs & Chase, 2020). I was the project manager, but I did not force any of my other siblings or family members to work on the tasks. This created stress and a lack of resources for me because it put me in a position to do all the tasks and prepare all resources for the trip. This means I was responsible for the amount of food to buy, which restaurants we would eat at, how many tickets to get for tours etc. In hindsight, I should have allowed them to sign up for a task, or I could have distributed the task. After distributing the task, I should have given each person a start/ finish date. Since it was everyone’s vacation and family, everyone needed to be a part of making it happen.
Another area of improvement I could have used is Earned Value Management. Earned Value Management is a technique that measures project progress at a particular point in time and its measures can be applied to projects with a revenue generation or cost (Jacobs & Chase, 2020). In the case of my family vacation, there was a cost and budget to maintain. There were also certain dates that you were supposed to provide the money to pay for your trip, activities, and food. If I was able to monitor where we were at any given point, I would have been able to assess that some of my siblings were behind on the budget. This would have saved a lot of frustration if I was able to assess the budget earlier in the trip planning phases instead of relying on everyone to pay as they felt like it.
Overall, with proper project management technical I could have managed the trip better.
