BUSINESS LETTER
A business letter is a kind of formal letter that is written and sent to organizations or corporations. Formal letters usually follow templates. According to the book Shelly Cashman Series, Microsoft Office 2016: Introductory by Cengage Learning 2017, the following are the parts
of a business letter:
• Dateline
o It contains month, day, and year. The year needs to be at 2-6 lines below the letterhead.
• Inside address
o It is placed 3-8 lines below the dateline, and usually contains the addressee’s courtesy title plus name, job title, business affiliation, and full graphical address.
• Salutation
o If present, it begins 2 lines below the last line of the inside address. As much as possible, avoid using “To whom it may concern”—it is impersonal. Instead, use the recipient’s title. In a business letter, use a colon (:) at the end of a salutation, in a personal, use a comma (,).
• Body of the letter(message)
o should begin 2 lines below the salutation. Paragraphs should have single-spaced with one blank line between paragraphs.
• Complimentary close
o It must be 2 lines below the last line of the message.
Problem: As an intern at the Health Department of your municipality, your boss has asked you to prepare medical certificate to be given to the requesting residents of your place.
Instruction:
The certificate should contain an inside address containing the name and address of the company where the certificate will be submitted, the patient’s complete name, age, address, occupation, and medical result which will be limited to results “Fit to Work” and Not Fit to Work”.
LETTERHEAD
A letterhead is the section of a letter that identifies an organization or individual. Often letterhead appears at the top of a letter.
Contents of a Letterhead
• The complete legal name of the individual, group, or company
• Complete mailing address: street address including building, room, suite number, or post office box, along with the city, state, and postal code.
• Phone number(s) and fax number (if applicable) • Email address
• Website address if applicable
• Many logos or other images
Steps in Creating a Letterhead
• Display the Insert tab.
• Under the Illustrations group, click Shapes and choose the rectangle shape.
• Draw a rectangle shape on top of your document.
• Under Layout tab/Drawing Tools Format tab, click Position Object Button and choose – Position in Top Center.
• In inserting images or shapes, consider the text wrapping options. For this example: Lay-out option chosen is Through.
• Inline object-object is part of a paragraph.
• Floating object- object can be positioned at a specific location in a document.
• Still, under Layout tab/Drawing Tools Format tab, click Wrap text and choose Top and
Bottom.
• Apply a shape style under the shape format tab.
• Add text to a shape by choosing Draw text box and dragging it to the shape or you can simply type text inside the shape. Sample text; Pure Health Clinic
• In the Format Tab, select Shape Fill and choose No Fill.
• In the Format Tab, select Shape Outline and choose No Outline.
• Change the document theme by clicking the Design Tab and choose Themes.
• Document theme – a coordinated combination of colors, fonts, and effects.
• Insert a picture into a shape. Choose from the gallery or online.
• Draw a text box and place it under the shape. Type the contents of the letterhead. (For the given image, it refers to the details or information about the clinic)
• Draw a line under the text by Clicking Insert-Shapes-Line (optional- just to separate the letterhead from the body of the letter)
• Group all the objects that you use by holding SHIFT while clicking on the objects.
• Once the selection is made, release your finger from the SHIFT key. Press right click and
choose GROUP or go to the Format tab and choose GROUP.
• Cut the grouped letterhead and insert it as a header.
