Part 4: Stakeholder Plan
For the project selected in Unit I, create an abbreviated stakeholder management plan. Your plan should follow the process for planning stakeholder management, as referred to in Table 4.1 in the textbook.
The deliverable for this element of the project is a table that you may create in Word or Excel. The table should include at minimum 10 project stakeholders using the following headings:
Stakeholder
Communication Needs
Method/Medium
Timing/Frequency
Further, each stakeholder is labeled in the table using the PMBOK® Guide categories:
Unaware
Resistant
Neutral
Supportive
Leading
Finally, include a column for Strategies to succinctly list your planned approach to the management of each stakeholder.
UNIT 1 PROJECT
Stakeholder Identification and Stakeholder Analysis
Project: Warehouse Shopping Center
A shopping center or a mall is such a massive project that requires careful planning and execution. Shopping centers are designed to serve the needs of various clients. They do have such facilities as shops, packing, recreation areas, restaurants, movie shops among other facilities. The main stakeholders of such a massive project are; the developer, the investors, occupants, customers, statutory organizations, event sponsors, outside advertisers among many others.
i. Resource Management Plan
Some of the things to consider are the resources needed for the success of the project, the budgetary allocations for every stage of the project, as well as project adjustments. Each resource must be allocated the right amount of time and matched to the right tasks. Most importantly, resources should be scheduled based on the projected availability.
ii. Communications Management Plan
Project communication planning ensures that project information is distributed through the right channels and in a timely manner.
iii. Stakeholder Management Plan
The first step in stakeholder management is identifying the right stakeholders. Once they have been identified, a thorough research is conducted to establish their suitability. As soon as the stakeholders have been listed in terms of priority, they can be contacted.
iv. Resource Acquisition Plan
Resource acquisition is done through negotiations with other project managers. Virtual teams can be involved in brainstorming processes as well as decision making. What is more, the project team must develop a physical resource assignment document.
v. Team Development Plan
Upon choosing the right people to participate in the project, the project managers should set the tone and ground rules. The goals should be clear and achievable. They should also be used to building team spirit and enthusiasm.
Perform Stakeholder Engagement Analysis
Analytical techniques for plan stakeholder management include analysis of the current state of the stakeholder engagement and forecast of the wanted future state. The common analytical tool utilized for stakeholder engagement analyses is the stakeholder engagement matrix. Table 4.1 shows a typical stakeholder engagement matrix of the current and wanted engagement state or level of various stakeholders. The first column of this stakeholder engagement matrix lists stakeholder names, and the remaining columns of the matrix refer to various engagement states or engagement levels of the stakeholders. For example, referring to the Table 4.1 stakeholder engagement matrix, stakeholder Kevin Brown is currently unaware about the project, and the desire of the project manager is to make him supportive of the project.
Table 4.1: Stakeholder Engagement Matrix
Note
The PMBOK® Guide, 5th Edition lists the stakeholder engagement states/levels as follows:
• Unaware: Stakeholder is unaware of project and potential impacts (by project or to project; positive or negative).
• Resistant: Stakeholder is aware of project and potential impacts but resistant to change.
• Neutral: Stakeholder is aware of project but neither supportive nor resistant to change.
• Supportive: Stakeholder is aware of project and potential impacts but supportive to change.
• Leading: Stakeholder is aware of project and potential project impacts and champion of change with a goal to ensure the success of the project.
