You have been named as the Communication Manager for the relocation effort and must determine how to communicate with various stakeholders about the purpose of the relocation, its timetable, and status of the relocation project.
Include the following communication methods when considering your strategy for the project:
* Face-to-face meetings
* Posters, bulletin boards, and newsletters
* Hard-copy reports
* Shared access to electronic databases and dashboards
* Electronic communication and conferencing tools, such as email, fax, voice mail, phone, video, and web conferencing, and the use of blogs
* Scheduling and issue management software, virtual office software, and collaboration tools
Given the breadth of communication options available, it is important to select tools that are user-friendly, efficient, cost-effective, and match the informational needs of various stakeholders.
The relocation sponsor has asked you to develop a strategy for communicating relevant project information on a periodic basis to the executive management team, relocation steering committee, relocation team, suppliers and vendors, customers, and employees. Further, the relocation sponsor has limited the number of communication tools to no more than five.
Prepare a Communication Plan using a 1- to 2-page table in Microsoft® Excel® or Microsoft® Word that outlines the following:
* Needs of various stakeholder categories
* Frequency of reporting
* Primary method of reporting by stakeholder category
* Your rationale for the communication method(s) selected for each stakeholder category
